JOB SUMMARY
Provide administrative support for Risk Management including data entry, review incoming claims system reports for accuracy and create claim reports for Louisville Water, and monitor and distribute all Risk and claim related communications both internal and external and all other duties as assigned.
ESSENTIAL JOB FUNCTIONS
Primary contact for incoming communications of the Risk Management department including overseeing the incoming phone line and other messaging systems including central email box.
Receive reports of claims via telephone, mail or fax and enter incoming claims into the RMIS system. Communicate with claimants regarding need for additional information, status of claims and provide response to all calls for information as appropriate.
Provide research data to claims staff for claims and recoveries including timelines, ISO reports, etc.
Perform tasks and transactions as needed for the claims process including the creation and maintenance of accurate and complete paper and electronic files; establishing and/or recording appropriate and timely reserves; maintaining diary of files; and issuance of check requests and recording of all payments made and received in appropriate data bases.
Manage all incoming mail including matching to current files or creating new ones as needed.
Maintain database and spreadsheet data including balancing against RMS, Access, Excel and Oracle databases.
Inform Supervisor of activities and problems within assigned area of responsibility;
Prepare various system and process reports, validate for accuracy and maintain files in compliance with policies and procedures and with the Kentucky Department of Insurance or other agencies as required.
Accumulate and prepare statistics and information for risk analysis and management reporting (i.e., Cost Allocation and Vehicle Accident report).
File certificates of insurance, insurance policies, loss prevention and inspection reports and other documents as assigned.
Periodically review and remove files for destruction or transfer to storage; retrieve and/or re-file items from storage facility and maintains accurate records of file activity.
Participate on SAC, NWT and other teams to identify and implement initiatives and measurements that will enhance the processes and systems of Risk Management.
Perform other duties as assigned.
WORKING CONDITIONS
Generally, works a 20-hour week in an office environment. Requires occasional trips outside for training, investigating or other work-related errands.
MINIMUM QUALIFICATIONS
High School Diploma or equivalent; and
Two (2) years of experience administering casualty claims for an insurance carrier or third-party administrator handling casualty claims or; and
Valid driver's license.
